The HVAC Estimator is a key member of our team, responsible for accurately quoting HVAC maintenance repairs, new installations and replacement plans for a wide range of HVAC equipment. This role demands a high level of expertise and quick decision-making to provide real-time quotes and budget estimates. The Estimator will engage directly with clients, provide comprehensive HVAC replacement plans, follow up on quotes and manage the order process. This role requires a smooth handoff of all projects to the Manager and VP of Operations, ensuring seamless execution.
Key Responsibilities:
- Quote Development & Estimation:
- Provide accurate and timely quotes for HVAC maintenance repairs, replacements, and new installations, covering the full spectrum of HVAC equipment.
- Perform on-the-spot estimates for repairs, as required by active quotes, in real-time situations.
- Develop and provide a detailed budget replacement plan for each client, outlining future maintenance and equipment replacement needs.
- Client Communication & Follow-Up:
- Ensure clear communication with clients throughout the estimation process, addressing any questions or concerns about their HVAC options.
- Follow up on all estimates and quotes, keeping clients informed of next steps and project timelines.
- Work closely with the sales and operations teams to coordinate project planning and client expectations.
- Project Coordination & Handoff:
- Once a proposal is approved, oversee the order of all necessary equipment and materials for the project.
- Facilitate a comprehensive handoff meeting with the Manager and VP of Operations, ensuring all project details, timelines, and special requirements are documented and understood.
- Technical Expertise & Compliance:
- Utilize advanced knowledge of HVAC systems, both maintenance and installation, to ensure all quotes and plans are technically sound and compliant with industry standards.
- Ensure adherence to state and federal HVAC regulations and best practices in all quoted work.
- Stay updated on advancements in HVAC technology, products and regulatory changes.
- Documentation & Reporting:
- Prepare detailed documentation for each quote, including parts lists, labor estimates, and timelines.
- Maintain organized records of all quotes, orders, and client interactions for future reference and reporting.
Qualifications:
- Experience: 10+ years in HVAC Service, with a minimum of 5 years of hands-on installation experience.
- Licensing: Must hold a Master HVAC License for the State of Maryland
- Technical Skills: Strong knowledge of HVAC systems, repair estimation, and installation practices. Ability to estimate repairs and new installations quickly and accurately.
- Communication Skills: Excellent verbal and written communication skills, with an emphasis on client relations and cross-departmental collaboration.
- Organizational Skills: Detail-oriented, with ability to manage multiple projects and prioritize tasks effectively.
- Technical Knowledge: Proficiency in HVAC software and estimating tools is preferred.
